Frequently Asked Questions regarding Membership.

Membership fees cover July 1 through June 30. MLS dues cover October 1 through September 30.

Membership renewal bills are sent in May and the payment is normally due by June 1. MLS bills are mailed at the same time and are typically due in September.

Yes. You are required to carry the same type of membership your broker carries. This is a rule of the National Association of Realtors®.
The fees to join are prorated on a monthly basis and billed annually. You will find a breakdown of these fees listed in the application for the month you are joining on the membership forms and document page.
Your broker must be a member in order for you to join, unless you have a broker’s license.
We only offer annual memberships. However, upon joining and renewing your Realtor membership, you will have the option to pay in installments.
In order to join, you must complete and return a membership application, which has been signed by your broker. You can submit it to us, along with a Visa or MasterCard, via fax, mail, or you can schedule an appointment to bring it in.

The Department of Real Estate can assist you in the process of renewing your real estate license. You can visit their website at www.dre.ca.gov or (213) 897-3399.

The Association offers correspondence courses and video courses to complete the 45 hours of continuing education required to renew agents’ and brokers’ license. Click to view a list of courses offered or call 213-897-3399.

For real estate agents renewing for the first time only you must complete:

  • A 3-hour course in ethics
  • A 3- hour course in agency
  • A 3-hour course in fair housing
  • A 3-hour course in trust fund handling

For real estate salespersons and brokers you must complete a total of 45 hours of approved continuing education courses, including:

  • A 3-hour course in ethics
  • A 3- hour course in agency
  • A 3-hour course in fair housing
  • A 3-hour course in trust fund handling
  • At least 18 hours of courses specifically designated as consumer protection courses
  • An additional 15 hours of approved courses, which may be designated as either consumer protection or consumer service courses

Go to www.winforms.com, select member purchase or renew button. Enter your CAR member # and your password—the last 5 digits of your social security #. Complete the online form and submit to CAR. Follow the directions to download WINForms onto your computer.

All new members are required to attend the mandatory training classes, unless they have attended them at another Association or MLS that uses Paragon.
You can listen to some Paragon tutorials, which are available on our website. However, the mandatory trainings are not yet available for online attendance.
Keys and Lockbox (6)

Alameda County, Contra Costa County , Santa Clara County, San Francisco County, The Peninsula, Monterey, Carmel and Santa Cruz. *Bay East Members can use their keys with Central Valley boxes also; However, they cannot be used with Metrolist boxes.
A manual eSync can be performed to update the key, by completing the following steps:
  1. Press Enter on your key
  2. Scroll Down to Manual Esync / press enter
  3. Sit the key back on the cradle
  4. Please Note: Manual esync's cannot be done if the member is talking on the same phone line the cradle is connected to. It will take about 90 seconds for the key to finish updating.

MLS Alliance (5)
Frequently asked questions regarding MLS Alliance
MLSAlliance is a cross MLS search engine. It's a single source of MLS listing information from multiple MLS's for the Real Estate professionals only while still maintaining each MLS's control, identity, and independence.
CA-MLS Alliance is your single source for accessing real estate information throughout California through a joint data sharing agreement between 12 MLSs (BAREIS, Bay East AOR, Contra Costa AOR, Coastal Mendocino AOR, CLAW, CRISNet Regional MLS, EBRD, Greater South Bay Regional MLS, iTech MLS, MetroList Services, Lake County AOR, MRMLS, San Francisco AOR, South Tahoe AOR and Southern California MLS). Bay East members have available the largest set of current & off-market listings.
MLSAlliance is set up as a gateway for accessing each participating MLS's listing data on a Parallel Servers, where detailed listing information and property reports reside. MLSAlliance doesn't infringe on an MLS's independence or identity. By using Parallel Servers at each MLS, MLSAlliance allows agents from anywhere in the region to view listings from any of the participating MLS's. Property reports are customized for each participating MLS. MLSAlliance is a reference site only; agents continue to add listings to their own MLS. The integrity of each MLS is protected.
  • Access listing information and comparables across MLS boundaries

MLS Alliance offers an automatic email notification similar to the one that is on Paragon.  Bayeast members can setup their clients to receive listings located outside of Alameda and Contra Costa county. Below are the simple instructions on how to setup the “Client Alerts” on MLS Alliance

  1. Login to MLS Alliance @ http://ca.mlsalliance.com.
    1. Select “Bay East MLS” as the MLS you are from.
    2. Login with your Paragon ID & Password.
  2. After logging into MLS Alliance, click Client Alerts.
    1. This will take you to the “My Profile” page where you will need to setup your agent contact information.  (There’s even a place where you can add your company logo and agent image!)
    2. The “My Profile” sections you need to complete are:
      My Information, Email Information, and Customize Email Report.
    3. Click Save.
  3. After completing your profile, you’re ready to add your Buyer’s contact information.
    1. Click the Add Alert button. 
    2. Follow the prompts on the screen to “Create New Client Alert – Step 1”.
    3. Add your client’s contact information, (i.e.) first and last name of the client plus their current email address. (All other fields are optional.)
    4. Click Save.
  4. Now create the search criteria for your buyer.
    1. Click the “Add Alert” link next to the buyer’s name.
    2. Complete the fields for the “Create New Client Alert – Step 2” section.
      1. Create a “Client Alert Name”.
      2. Click the “Search Criteria” button to create a search for your client.
      3. Leave all options “as is” in the ‘Create Client Alert Notification Option” section.
      4. Click the checkbox to “Send Search Results Now.
    3. Click Save.

Congratulations!  Your client will now receive emails from the MLS Alliance system whenever properties match their saved search criteria.

Paragon MLS (16)
Questions and Answers regarding the Paragon MLS system.
Visit maxebrdi.fnismls.com. Your user ID is your 9 digit Bay East Member number and your password is what ever you have chosen. If you do not remember your user ID and Password Please email Roya here. In the email make sure you put the last 4 digits of your SSN for verification.

You can call system support at 925-730-7100 Monday through Friday between the hours of 7:30 a.m. and 5:30 p.m.

To insure privacy, it is recommended that once you receive your member ID and password that you change your assigned password to a personal one. Follow these steps and you can change your password.

  • Click on Preference.
  • Click on User.
  • At the lower left hand side change your password.
  • Click on Save Password.

These steps will change your personal password. If you need more help please contact our tech support at 925-730-7100.

When you are changing your listing to pending and the Buyers Agent is out of the area the agent ID which your going to use is 206599999.

As a Paragon user, you can only withdraw/cancel a listing. If you need help changing the status call 925-730-7100 or fax the information to 925-730-0266.

No, once the listing has expired you can not change the listing. The Multiple Listing Department can make the changes to your listing in order to reflect the proper status by faxing the information to Roya at 925-730-0266 or email her here!

Find your Property if it's there it has been entered. If Yes, It has been entered.
  • Click on Listings.
  • Click on Maintain Listing.
  • Click on Select an Action next to your listing.
  • Click on Tour Listing.
  • In the last box click on the circle next to the number.
  • On upper right corner hit the DELETE button.
  • Click OK

Beginning on September 3, 2008 REALTOR® members of Bay East Association of REALTORS® will have the option of receiving email reminders prior to the expiration of their listings! This new application aims at making members more productive and aware of listing expiration.
The system will send an email to the address you have registered within Paragon one, three, five or seven days prior to the expiration date of your active listings. The email you receive will contain the MLS number, Listing Address and the Expiration Date.
  • Modify your settings at any time, or turn off all notifications.
  • Select how many days in advance you would like to receive emails.
  • Receive alerts at up to 3 email addresses or devices.

Technology Questions. (1)
Frequently Asked Questions regarding Technology.
  1. From the Top Menu Screen, choose the type of Search you want to perform:
    • Today’s Hotsheet
    • Quick Search
    • Full Search
    • My Searches
  2. Execute a search and select the listing you want to e-mail from the one-liner screen.
  3. Scroll to the bottom of the property details and choose "Email Listing".
  4. In the "To:" field, enter the e-mail address (Tip: you can e-mail multiple recipients by separating the email addresses with a comma).
  5. (Optional) Edit the subject line.
  6. Select whether you want the listing report to be displayed as plain text or in HTML (Tip: Consider how the recipient will be checking their e-mail. Listing reports in HTML format are best for desktop computers and laptops. Text format is recommended when e-mailing the listing report to a mobile device).
  7. Click "Send" to e-mail the listing report.
IDX (Internet Data Exchange) (12)
Questions and Answers regarding the Internet Data Exchange Program (IDX)
Unless you are skilled in web site development you will need a consultant/vendor to assist you in establishing a web site. There are many vendors in the market who can develop a web site for you. Please note that your vendor must complete the IDX Data Access Agreement which can be found here on the IDX Document page of our website.

You will need to complete the IDX Data Access Agreement and return it to the Association. When we have verified the data, we will notify you by sending a confirmation package in the mail with the FTP site address, User ID and password. (Please note that the FTP pull is a data stream. It is a comma, tab, pipe delimited format and it’s not pre-formatted for display).

Once you have established your web site and filed the returned the appropriate forms to the Association, it should take three business days to establish an account and we will email your package to you.

>There is currently no charge from the Association for this service. Your costs are those associated with establishing your web site.

At this time there is no link for the IDX feed. We are working with our vendor to provide the best possible solution that they have to offer. In the meantime please use the FTP site for adding active listings to your website.

All information delivered in the IDX data file can be displayed. The data that will be sent includes most of the information contained in the enhanced client report for ACTIVE listings, plus the name of the listing broker and the listing agent
There are three things that are especially important in displaying the data on your site.

  • 1. The listing broker's and the listing agent's names must be displayed.
  • 2. If you decide not to display all of the information in the file, a notation must be made that not all information that has been provided about a property is being displayed.
  • 3. No portion of the IDX database may be co-mingled with any non-MLS listings on an IDX Internet web site. However, if the property in question appears in an MLS other than MAX MLS, it may be co-mingled on the listing participant’s/subscriber’s website

The data will be pulled by you or to your vendor daily. Simply ensure that your use of the MLS data as well as your consultant’s use of the data is in compliance with the MLS and IDX rules. This usually will be solved by using a vendor who understands what our rules are and who agrees to stay in compliance.

The EBRD data is not currently available. However, inclusion of their data is a priority, and we are working with them to include their listings as soon as possible.

All FTP files will be pulled by you or your consultant at whenever they want to pull the information. The files are updated at 4am, 8am, 12pm, 4pm, and 8pm.

IDX rules require that all web sites be updated with current data at least once every 72 hours. This includes adding new listings, removal of listings that are no longer active, plus including any changes that occur to an existing listing.

The listings will be removed within 3 business days of receipt of your Opt Out Form.

No. You may only display IDX data if your office is an IDX Participant.

Diverse Solutions (6)
The Bay East Association of REALTORS® is providing a free frameable IDX solution for the membership. This solution can be implemented by anyone who wishes to have search capabilities on his or her own website. There are many new features that this frameable solution provides over the IDX EZ Solution. Below are some answers to questions you might have about the product.
A: To receive the Diverse Solutions IDX solution, fill out the Participant/Subscriber form located at http://www.bayeast.org/mls/idx/documents.

After the form is filled out, fax it to Technical Support at (925) 369-7151.

  1. A link will be returned to you which you can then add to your website.
A: Absolutely not.  This solution is for anyone looking to change their current IDX solution or implement a new one.  If you are happy with what you currently have, you may continue using that solution.

A: The IDX search capability by Diverse Solutions is free but you will have to get your own website setup from a web-hosting company and pay whatever fees are required for your website setup. There is an enhanced option you can subscribe to from IDX Solutions costing $69.95 which will allow your web site visitors to easily chat via instant message directly with you, the agent, using a desktop application, or via their cell phone.  Either of these two options allow you to capture the visitor as a lead!  Again, you are not required to purchase this enhancement, since the site is already supported by ads on the website. Be assured that these ads have no relationship to the real estate industry.

A: Diverse Solutions offers capabilities that are not available with the IDX EZ solution. Some of the features that are offered are: 1) locating the property on a map; 2) calculating the mortgage payment; 3) school and neighborhood information; and 4) email or print capability.

A: You have to be an active Bay East MLS member in order to receive the Diverse Solutions capability.

A: Below is an example of what the Diverse Solutions IDX looks like.  Clients can use the map to look in specific areas where there are properties available.

IDX EZ is a free frame-able IDX solution for the membership.

Absolutely not. This solution is for people who are looking to change their current solution or implement a new one. If you are happy with what you currently have, you can continue with that solution.
